Q1: Are employees and supervisors expected to enter/approve time daily?
A1: It is recommended that employees enter time daily, but it will be at the direction of the department how and when hours are submitted.
Q2: Will exempt employees need to complete a timesheet if they have no exception hours? What if the hours are worked under a different COA?
A2: Exempt employees will not need to complete a daily timesheet. The exception is when the employee has on-call or operational needs pay to record, or a COA override for hours worked. Then only the special pay hours or hours with the COA override need to be completed in the timecard.
Q3: Will the timecard or absences need additional approval from the department’s payroll staff or liaisons?
A3: No other approval is needed once the timecard/absence is approved by the supervisor.
Q4: How will Mobius calculate overtime for non-exempt employees?
A4: Non-exempt employees will enter all time worked as regular hours (or engagement pay if applicable) into Mobius via the timecard. Once the employee reaches 40 hours of productive time, the system is configured to calculate which hours are overtime and will change those hours into overtime.
Q5: What is the best way to document overtime in an on-call status?
A5: Employees (exempt and non-exempt) in an on-call status must document on their timecard the on-call engagement pay work code when engaged to work under on-call. These hours will be counted as hours worked towards determining when the employee has reached the overtime threshold for the week.
Q6: Can non-exempt employees choose to earn comp time in lieu of overtime?
A6: Yes, if their department and supervisor allow comp time and have agreed to it. However, the employee must meet 40 hours of productive time first and have that entered on the timecard before comp time earned can be entered. The employee would enter comp earned for any hours over 40 that they wish to earn as comp time instead of entering regular pay.
Q7: For full-time employees who work extra time with the same department, but with a different program, will the system have different assignments for that employee?
A7: If the employee holds an additional position for the extra hours worked, they will have two assignments available in their timecard.
Q8: Will part-time employees need an entry every day?
A8: No. Employees only enter the hours they worked.
Q9: Will employees with two different positions still only have one supervisor?
A9: No. Each assignment will be assigned a supervisor. Each supervisor must approve their respective hours.
Q10: Will board members need to enter their time into Mobius?
A10: Board and committee members will have their time/payments entered by their Payroll liaison or contact but will be able to access Mobius the same as any other employee.
Q11: How late is too late to submit leave or timecard? Can employees submit weeks after?
A11: Employees will have until Monday after the period ends to submit their timecards to their supervisor to have it approved on time for the current payroll period. Some departments may have a slightly earlier deadline depending on 3rd party timekeeping systems. Employees can edit, correct, or create a timecard on a rolling 14-day window backward from the current date. If they miss the window for creating a timecard for a period that has passed, their manager or payroll liaison will need to complete the timecard on their behalf. If a timecard is not submitted and approved by the time payroll starts processing, the employee will not be paid for that period.
Q12: Can employees enter timecards in advance?
A12: No, timecards cannot be submitted for future pay periods, only the current ones.
Q13: What will be the future deadlines for employees and managers to enter and approve timecards and absences?
A13: Timecards must be approved by managers by the department COB the Monday following the end of the pay period. Departments may provide additional guidelines.
Q14: TCP inputs timesheets into Mobius. Will that time be visible to the employee in Mobius?
A14: For DPRT and FFM TCP users, time will be imported into the timecard module and employees can view the timecards. ADC employees will not have access to the Mobius timecard module.
Q1: How far in advance can an employee submit leave?
A1: Leave can be submitted at any time through Mobius.
Q2: Is leave auto-approved when submitted by the manager on the employee’s behalf?
A2: Yes.
Q3: Will the system recognize duplicate leave entries?
A3: No. Employees and supervisors must be diligent to ensure every entry is correct.
Q4: Does Mobius auto-populate federal holidays? What about State holidays?
A4: For full-time, non-exempt employees, the 11 PWC observed holidays are auto-populated in the timecard in Mobius. The two additional holidays some departments elect to observe are not, as well as the holidays for part-time employees. Employees, managers, or payroll liaisons will need to enter these holiday pay hours. Holidays are not populated or tracked for exempt employees (it’s not needed).
Q5: If I forgot to submit leave before the deadline, how can I correct my record?
A5: You can submit retro leave or edit your absence to reflect the correct leave at any time. It is recommended you work with your manager and/or your HR liaison to ensure that the entry was entered or corrected properly if done retroactively.
Q7: Exempt employees are limited to taking leave in full-day increments. Will Mobius be able to recognize if an employee is taking the appropriate amount of leave?
A7: Mobius will not track exempt employees’ daily work schedules. The system will not notify the employee or the manager if the leave amount is incorrect. The employee and the approving supervisor will have to monitor the leave entries for accuracy.
Q8: Can exempt employees take multiple types of leave to equal a full day?
A8: Yes.
Q9: Will FMLA work codes only be available for employees who have been approved for FMLA?
A9: Yes, once the Family Medical Leave is approved by HR this will be made available to employees for absence entry.
Q10: Can the employee submit LWOP (leave without pay) or Admin Leave, or does that need to be entered at another level?
A10: LWOP can be entered by the employee on the timecard and would follow the normal approval process. Paid and unpaid admin leave is restricted to only the Payroll Liaisons. Those entries are completed through the absence module.
Q11: Does Bereavement Leave need any prior approval before requesting?
A11: No, unless your department has an internal procedure for approval other than the direct supervisor.
Q1: Will employees be able to add a dollar amount to their direct deposit?
A1: Employees will be able to add a dollar amount and/or percentages to their direct deposit.
Q2: Can employees make changes to their direct deposit? How soon do those take effect?
A2: Employees can make changes to their direct deposit through employee self-service. The changes are immediate unless payroll is processing the current paychecks (starting Tuesday morning of pay week); then, it will be effective the following payroll.
Q3: Will employees be required to submit backup documentation for direct deposits? Examples: voided check or bank statement with account numbers
A3: No. Employees will not be required to submit additional documentation for new direct deposits.
Q4: Will my out-of-state bank be included as an option for direct deposit?
A4: Yes.
Q5: How do I add a savings account to my direct deposit if it has the same number as my checking account?
A5: A bank account number will not be the same for two separate accounts. Contact your bank to determine the correct numbers to use for direct deposit if they appear to be the same. You will add one bank account with your checking account number and bank routing number and then a second bank account with your savings account number and bank routing number. The bank routing number can be the same for both accounts. When you assign a name to the bank account, you can differentiate between the checking and savings accounts to avoid confusion when adding them to the payment methods.
Q6: When an employee deletes a contact, will Mobius give them a warning notice first?
A6: No.
Q7: For Anthem Health keepers that need to submit a PCP ID, where can that be found?
A7: The PCP ID can be found on Anthem’s website.
Q8: Will the employee’s mail stop code be in Mobius?
A8: No.
Q1: Will employees be able to change or update roles within Mobius? If not, how can it be changed?
A1: Requests for changes to Workforce roles will need to be submitted to HR Shared Services.
Q2: Should managers make the edits to a timecard, or do they reject it back to the employee to make the corrections?
A2: Managers can make edits and approve, or they can reject the timecard for the employee to correct.
Q3: Does a timecard automatically approve when a supervisor creates and submits it on the employee’s behalf?
A3: The supervisor must complete and submit the timecard first, then approve it.
Q4: Will the supervisor receive push notifications or emails when employees submit timecards or leave approvals?
A4: Supervisors will receive emails when they need to approve a timecard or leave request, and they will also have notifications within Mobius through the bell notification or the Things to Do area.
Q5: Can a supervisor batch enter timesheets for employees who work the same hours or attend the same training?
A5: No. Only one employee’s timecard can be updated at a time. Payroll Liaisons have the ability to create mass time entries.
Q6: Is there a calendar view in Mobius for supervisors to view an employee’s individual record or even their division’s time?
A6: No. There are no calendar views in Mobius, but there are options to add leave requests to your calendar when you approve them.
Q7: When HR Liaisons enter FMLA or donated leave on a submitted timecard, does it have to be approved again?
A7: Special leaves must be entered under the absence module as a leave request. It is auto-approved when submitted by an HR Liaison.
Q8: What requests route to the direct supervisor?
A8: Currently: timecards, leave requests, and expense authorizations. Other financial transactions follow the custom workflows setup in Financials based on COA.
Q9: What is the process when a direct supervisor is unable to approve timecards?
A9: The next supervisor in the employee’s chain can approve timecards, but they must be notified that they need to approve timecards and who they need to approve. Payroll Liaisons will be reviewing the status of timecards to ensure they are all approved each pay period. In emergency situations, HR Shared Services can approve.
Q10: Can an indirect supervisor approve an employee’s time when the employee works at another location?
A10: No. The employee will enter their time, and the direct supervisor (or another supervisor in their chain) must approve, edit, or deny the time. The comments should be used to document hours worked in another location.
Q11: Should departments have a backup for the HR role?
A11: Yes, this is recommended. Additionally, departments should have a Payroll Liaison backup.
Q12: Is it possible to add multiple managers to one employee?
A12: In general, no, the supervisor structure only allows employees to be assigned to one manager for each position/assignment that they are in. If the employee is in more than one position, they may have multiple managers.
Q13: When establishing vacation rules, can liaisons/managers assign one or more people as a backup?
A13: Only one person can be assigned as an alternate approver when doing a general vacation rule.
Q14: Are vacation rules set up by the manager, the liaison, or someone else?
A14: Employees can set up their own vacation rules.
Q15: In the supervisor field, is Mobius workforce linked to the financials approval path? Can someone set up a vacation rule for timesheets that are linked to the financials approval path?
A15: Approvals for timecards, leave requests, and expense authorizations route to the supervisor on an employee’s assignment. All other Financial transactions follow the custom workflows set up in Financials based on COA. If someone sets up a general vacation rule, it will apply to any transaction that would have been routed to that person for approval in both the HCM and Financial modules.
Q16: If a user has multiple roles, ex: manager and liaison, would there be multiple log-ins?
A16: All employees have one login for Mobius, even if they have multiple roles within the application.
Q17: If a supervisor’s position becomes vacant, then subsequently filled, will the direct reports be reassigned automatically?
A17: No, when a supervisor leaves, the temporary supervisor has to be selected, and the reports are reassigned. When a new supervisor is hired, the employees that will report to them must be assigned to them.
Q1: If a non-exempt employee has overtime that is costed to a different COA, how is that completed in Mobius?
A1: Employees should enter time worked as regular time. Any entries after 40 hours of productive time will be calculated by the system as overtime. Payroll Liaisons and supervisors can override the COA on the overtime portion as needed.
Q2: Can managers change COAs for their direct reports only, or can they change other employees’ COAs?
A2: Managers can only change COAs on timecards they are creating, editing, or approving.
Q3: What roles can make permanent changes to an employee’s COA?
A3: Permanent changes to an employee’s COA must go through Shared Services to be updated. The departments will no longer have access to see the individual employee’s COAs in Mobius.
Q1: What kind of Mobius training is available to new hires?
A1: The Human Resources Department Training Division is working on New Employee Orientation for 2023, and we will have more details at the end of the year.
Q2: Will there be a checklist for new employees to ensure they do not miss any steps in setting up their tax deductions, direct deposit, or benefits?
A2: Yes. There is a “journey” that assigns tasks for the employee to complete, including tax deductions, direct deposit setup, etc.
Q3: What happens if a new employee fails to enter their banking information or tax information?
A3: When a new employee fails to complete the tax information, they are automatically assigned to deduct the highest taxes possible. If they fail to enter their banking information, the employee will be issued a manual check mailed to their address on file.
